Communication Policy

"Learners Today, Leaders Tomorrow"

Institutional Compliance: Review the official communication guidelines below. All enrolled families and faculty members are expected to comply fully with our institutional interaction standards.

01 Purpose and Philosophy

At Janimax School Complex, we believe that clear, consistent, and documented communication is essential to student success and institutional integrity. This policy is established to protect the privacy of our staff, safeguard student data, ensure that parents receive accurate and uniform information, and maintain a highly professional boundary between the school and the home.

02 Scope

This policy applies to all teaching staff, non-teaching staff, administrators, parents, and guardians associated with Janimax School Complex.

03 Centralized Communication

To ensure accountability and quality assurance, all communication regarding official school matters must be routed strictly through the school's authorized institutional channels. There is to be absolutely no direct, private communication regarding school matters between parents/guardians and individual teachers or staff members outside of these approved frameworks.

04 Directives for Teachers and Staff
  • Prohibition of Personal Device Use: No teacher, administrator, or staff member is permitted to use their personal mobile phones, personal social media accounts, or personal email addresses to interact with parents or guardians regarding official school information.
  • The "Dual-Relationship" Clause: We recognize that staff members may have family members or close friends whose children attend Janimax. However, no exceptions are made for official school business. Even if a parent is a relative, all inquiries must be redirected to official channels.
  • Redirection of Inquiries: If a parent attempts to initiate contact via a staff member's personal number or in an informal setting, the staff member is required to politely decline and direct them to official contact lines.
05 Directives for Parents and Guardians
  • Respecting Professional Boundaries: Parents and guardians are strictly prohibited from contacting teachers or staff on their personal mobile phones or private messaging platforms (e.g., WhatsApp, SMS) for school-related inquiries.
  • Information Requests: All requests for student progress updates, disciplinary follow-ups, financial inquiries, or scheduling must be submitted through the official administration channels. The administration will coordinate with the respective teacher to provide a documented response.
06 Official Communication Channels

07 Enforcement and Compliance

Adherence to this policy is a mandatory condition of employment for staff and a condition of continued enrollment for families.

  • Staff: Any staff member found communicating official school information via personal channels will be subject to internal disciplinary action.
  • Parents/Guardians: Repeated attempts to bypass official channels or pressure staff into direct communication will result in a formal administrative review of the family's enrollment status.
